Auto Dealership Payroll & HR Services in Maine

Running a dealership means running several businesses at once. Between new and used sales, service, parts, and finance and insurance, you are paying flat rate technicians, commissioned salespeople, hourly porters, and salaried office staff out of the same payroll run, and every one of them follows a different set of rules.

That's where Paper Trails comes in. Our payroll and HR software, powered by isolved, is built to handle multiple pay types on one platform, so you can spend less time reconciling commission sheets and repair orders and more time selling and servicing vehicles. Whether you run a single rooftop with 20 employees or an auto group with 300 across several stores, we offer tailored tools and local support to help you stay compliant, organized, and efficient.

Payroll and HR Challenges Dealerships Face

Dealership work does not fit a standard payroll template. Here are the areas we spend the most time helping Maine dealers sort out.

Paying Flat Rate, Commission, and Hourly Employees Together

A single pay run can include a technician on flat rate, a salesperson on a tiered commission plan, a porter on the clock, and a controller on salary. Each pay type carries its own rules, and most payroll systems were built to handle one of them. That gap is what forces the spreadsheets, the side calculations, and the late nights before submission.

Overtime Exemptions and Employee Classification

Dealerships are one of the few businesses with an industry specific overtime exemption, and it is narrower than most dealers realize. It covers salespeople, parts clerks, and mechanics, not porters, detailers, cashiers, or office staff, and it never waives minimum wage. Maine layers its own conditions on top of the federal rule, so getting classification right takes more than checking a box.

Disconnected Systems and Manual Reconciliation

Repair orders live in the dealer management system, punches live in the time clock, commissions live on a spreadsheet, and payroll lives somewhere else entirely. Someone has to stitch all of it together by hand every pay period. That manual step is where most dealership payroll errors start, and it is the first thing we work to remove.

High Turnover, Hiring, and Onboarding

Turnover in the automotive industry runs high, especially on the sales floor, which means you are almost always bringing someone new through the door. Without a real process, hiring and onboarding turn into a paperwork problem that slows down your managers and creates errors in the employee record before the first paycheck is ever cut.

Key Features of Our Software for Dealerships

Our platform covers the areas dealerships lean on most: multiple pay types in one run, blended overtime, technician time tracking, employee scheduling, department and rooftop labor allocation, certification tracking, hiring and onboarding, benefits administration, general ledger integration, custom reporting, and compliance support.

1

Multiple Pay Types in One Payroll Run

Flat rate technicians, commissioned salespeople, hourly porters, and salaried office staff all process in the same run, each under its own set of rules. Earning codes are configured once during setup, so the system applies the right treatment to a spiff, a volume bonus, a guarantee, and a chargeback without your office manager rebuilding the math every pay period.

2

Blended Overtime & Regular Rate Calculations

For any employee who is not exempt, commissions, spiffs, and nondiscretionary bonuses have to be folded into the regular rate before overtime is calculated. Our system spreads those earnings back across the hours they were earned in and calculates overtime correctly, instead of the one and a half times base wage shortcut that creates back wage exposure.

3

Technician Time Tracking & Mobile Scheduling

Flat rate hours and clock hours are two different numbers, and a dealership needs both. Our auto shop time tracking software captures clock hours, codes them to the right department and job, and shows a manager on Thursday that someone is closing in on 40 hours. Employees view schedules, request time off, and punch in from their phones, and geofencing keeps punches tied to approved locations.

4

Department, Rooftop & Labor Allocation

Assign wages and hours to the department and store where the work actually happened. When a general sales manager earns an override across two departments, or a detailer splits time between service and used car reconditioning, the labor cost lands in the right place and your profitability reports stay accurate.

5

Custom DMS & System Integrations

We build tailored import tools that move data into isolved instead of asking your team to rekey it. Depending on what your dealer management system supports, that can include time punches, flat rate hours from closed repair orders, job codes, and approved commission data, which removes the manual reconciliation step where most dealership payroll errors begin.

6

Certification & License Tracking

Technician certifications, state inspection licenses, and manufacturer training all carry renewal dates, and some pay plans move a technician to a higher rate the day a certification is earned. Those dates live in the employee record with automated reminders, so a lapsed license never stops a technician from working and an earned rate increase never gets missed.

7

Applicant Tracking & Onboarding

Hiring is constant in this industry, particularly on the sales floor. Post openings across multiple channels, track candidate progress, and move a new hire from offer to first paycheck with mobile friendly electronic forms, so the employee record is complete and accurate before payroll ever touches it.

8

Automotive HR Support & Employee Classification

Handbooks, job descriptions, policy questions, and the classification decisions that come with hiring in a dealership. Our HR solutions range from a one-time project to a dedicated HR consultant, depending on what your store needs. Classification gets reviewed with you during setup and revisited whenever roles or pay plans change, so the exempt flag in the system always reflects how someone is actually paid.

9

Retirement Plan Integrations

Manage contributions and eligibility with direct connections to many 401(k) and SIMPLE IRA providers, as well as to the Maine Retirement Investment Trust (MERIT). Enrollment, tracking, and payroll deductions stay in sync, which keeps you compliant with state requirements without adding work for your controller.

10

Workers' Comp Administration

Break workers' compensation premiums down by department or class code, which matters when a service technician and a salesperson sit in very different rate categories. Pay as you go options tie billing to real payroll data instead of a large upfront estimate, which is a useful cash flow tool.

11

General Ledger Integration & Custom Reporting

We build custom general ledger reports mapped to your chart of accounts and your accounting software, so payroll reconciles cleanly every period. Beyond the ledger, our team tailors reports for labor cost by department, overtime exposure, technician production, and anything an audit or a manufacturer review might ask you to produce.

12

Employee Financial Wellness

Employees get financial coaching and low interest lines of credit through FinFit, and early access to earned wages through ZayZoon, right inside the isolved People Cloud mobile app. In an industry where turnover is expensive, benefits like these are a low cost way to give your team a reason to stay.

Common Dealership Payroll Mistakes (And How We Fix Them)

1

Applying the dealership overtime exemption to people it never covered

Applying the dealership overtime exemption to people it never covered

Section 13(b)(10) of the Fair Labor Standards Act exempts salespeople, parts clerks, and mechanics from overtime when they are primarily engaged in selling or servicing vehicles at a dealership. It does not cover your porters, detailers, cashiers, or office staff, and it does not waive minimum wage for anyone. We go role by role through your roster during implementation and set the exempt flag in the system where it actually belongs.

Assuming the federal exemption settles the question in Maine

Assuming the federal exemption settles the question in Maine

Maine has its own version of this exemption, and it defines the roles itself. Under 26 M.R.S. section 663, the definitions of automobile mechanic and automobile parts clerk carry two conditions: annual compensation above 3,000 times the state minimum wage, which works out to roughly $45,300 at the 2026 rate of $15.10 per hour, and no exemption at all when the employee is paid on an hourly basis. A shop paying technicians a straight hourly wage may owe Maine overtime even though the federal exemption looks like it applies. This is the single most common thing we flag on a dealership audit.

3

Leaving commissions and bonuses out of the regular rate

Flip to learn more

Leaving commissions and bonuses out of the regular rate

For employees who are not exempt, a monthly bonus or a spiff has to be spread back across the hours it was earned in, which raises the overtime owed. Dealers get this wrong by calculating overtime at one and a half times the base wage alone. The system handles the recalculation once the earning codes are configured correctly, which is part of setup.

4

Never checking that commissioned salespeople cleared minimum wage

Flip to learn more

Never checking that commissioned salespeople cleared minimum wage

The overtime exemption does not touch minimum wage. A salesperson coming off a slow month still has to clear $15.10 for every hour worked, and more if the work happened in Portland or Rockland, which set their own higher rates. We build that comparison into your regular payroll review so it gets caught weekly instead of at month end.

5

Letting labor land in the wrong department

Flip to learn more

Letting labor land in the wrong department

When a general sales manager earns an override across two departments, or a detailer splits time between service and reconditioning, miscoded labor quietly distorts every profitability report you run. Department and job coding gets configured up front so the numbers you use to make staffing decisions are the right ones.

Payroll and HR for Auto Dealerships FAQs

  • Because several departments with entirely different pay structures run through one pay cycle, often for the same employee. A single pay run can include flat rate technician hours, commissions based on gross profit, spiffs, hourly wages, and salaries, each governed by different rules. On top of that, dealerships are one of the few businesses with an industry specific overtime exemption, so classification errors carry real exposure. Most payroll systems were never designed to handle that combination without manual workarounds.

  • Most dealerships manage payroll in one of three ways: by hand with spreadsheets and commission sheets, through a general payroll provider that was not built for the industry, or through a connected system that handles multiple pay types on one platform. The manual approach works until volume or headcount grows, then reconciliation starts eating a full day every pay period. A connected setup pulls clock hours from the time system, flat rate hours from closed repair orders, and approved commissions from the deal log, then applies the right rules to each.

  • Yes, though it is worth separating two different things that share the name. Automotive service appointment scheduling systems book customer visits into the service lane and usually live in your dealer management system. Employee scheduling software builds and publishes staff schedules, tracks availability and time off, and warns a manager before someone crosses 40 hours. Paper Trails handles the second one through isolved, and it connects directly to your time clock and payroll so a schedule change flows through automatically.

  • Technician time tracking gives you the clock hours that flat rate production alone cannot show you. You need both numbers: flat rate hours drive what the technician earns, and clock hours tell you who is actually on the property, which matters for anyone not exempt and for spotting a technician working well past 40 hours. When the time system feeds payroll directly, hours arrive already coded to the right department and job, which removes most of the manual entry and the errors that come with it.

  • Partly. Maine exempts automobile mechanics, parts clerks, service writers, and salespersons from overtime, but it defines those roles under 26 M.R.S. section 663 with conditions the federal rule does not have, including a compensation floor and no exemption at all for mechanics and parts clerks paid hourly. The exemption also never waives minimum wage. If you pay technicians on an hourly basis, it is worth reviewing your setup before your next payroll.
